CMC Policies

This document outlines policies and expectations for all CMC patrons. When you become a CMC member, you agree to these terms as outlined in your membership agreement. Violations of these policies, as well as violations of JHU IT and conduct procedures, may result in consequences under our Three-Strike Policy (see below), including forfeiture of checkout privileges and/or access to the computer lab, gaming lounge, studios, and other CMC resources.

Compliance with Regulations

You must abide by the regulations set by the University and local authorities while using CMC equpment and facilities. This includes, but is not limited to:

  • Following public health measures
  • Obtaining written releases from recorded subjects when appropriate
  • Intellelctual Property & Promotion

  • You retain the copyright to all work you create at the CMC
  • The CMC may ask to use your work for promotional or internal training material, with credit , and may continue to use it in perpetuity if you agree (per piece of media)
  • Respecting intellectual property of other creators
  • Community Expectations

  • Be respectful of shared equipment and others' creative time
  • Help maintain a clean, safe, and professional environment
  • Follow JHU's Technology Use Policies and Code of Conduct
  • Three-Strike Policy

    We're committed to maintaining a safe, respectful, and collaborative environment for all members. This policy ensures accountability while supporting you in learning from mistakes.

    Strike 1 - First Violation

    You will receive an email describing the violation and outlining the policy you did not follow. This is an opportunity to understand our expectations and correct your behavior. No immediate restrictions will be applied, but the violation will be documented.

    Strike 2 - Second Violation

    Your access to the CMC will be temporarily restricted until a required meeting with ProStaff to discuss the situation and review expectations before you can return to the space and/or resume using the resources in question.

    Strike 3 - Third Violation

    Your access to the CMC will be restricted for a 1 month minimum following another required meeting with Prostaff. All advanced equipment authorizations will be revoked until ProStaff determines you have demonstrated a clear understanding of both the relevant policies and the safe, respectful use of our equipment and spaces following requests for re-authorization.

    Additional violations beyond this point will result in revocation of checkout privileges for one semester. Consequences will carry over to the following semester. Semester recesses will not count towards an individual’s outstanding restriction duration.

    CMC Equipment Policies

    Accountability

    You are completely responsible for the safe use and cost of repair/replacement for any piece of equipment checked out to you for the entire duration of checkout. All responsibilities for equipment booked in your name fall upon you and no one else.

    Inspection & Condition

  • Patrons are responsible for the condition of their booking upon leaving the CMC
  • All damaged equipment and parts will be returned to the CMC; patrons are not to keep any damaged items
  • CMC staff's judgement is final in all matters regarding equipment condition, return, and replacement fees
  • At Check-Out

  • You must complete the checkout process yourself in person-you cannot have another person pick up equipment for you
  • You must inspect all equipment throroughly, referencing your receipt, with staff present
  • You must confirm that the equipment is in good working order
  • Note any existing deficiencies of the booking or signs of damage on equipment
  • At Check-In

  • You must return all equipment as whole kits-we will not accept the returns for part of a kit
  • You must return your booking and only your booking-you cannot ask another person to return items for you
  • You must remain present while equipment is thoroughly inspected
  • Equipment will be considered late if returned after the check-in time specified on your reservation
  • Late fines may accrue on equipment, as determined by CMC staff
  • Show up on time for returns; we reserve the right to refuse your return 5 minutes before our closing hours
  • Replacement & Late Fines

  • Equipment kits without notice of damage or defficiencies prior to a patron's leave of the CMC with the kit will cause a patron to be subject to fines accordingly
  • If a patron insists an item was missing upon check-out during check-in, and either no notice is found by CMC staff or the patron admits to not checking the kit fully, the responsibility of the missing item lies with the patron
  • You must pay, in full, the replacement cost of any piece of equipment or constituent parts that are lost, stolen, or damaged beyond repair, for all reasons and under any circumstances while checked out under your name
  • You must pay, in full, the cost of repair for equipment that is returned in a condition inferior to the condition in which it was checked out
  • You must pay, in full, the full fine amount should you be late in returning an item that another patron is waiting to check out
  • Extensions

  • Extensions will NOT be granted for items that are marked as overdue in our system
  • Extensions may be granted up to three times in one-day increments
  • Patrons must call or email to request extensions; they will not automatically be granted by booking items back-to-back
  • Patrons requesting a booking duration longer than 6 days must send their inquiries to CMC Prostaff
  • Fair Access

    Avoid making back-to-back bookings in order to facilitate more CMC patrons being able to use the equipment. We're committed to ensuring equitable access to resources for all students, and we reserve the right to cancel your booking if we notice it has become a re-occuring issue.
